This Privacy notice provides information on the personal data processed for Serrala’s customers, prospects and visitors during events organized by our partners and further communication and marketing activities related to such events and Serrala’s services and products.

From the moment you voluntarily register for the event, Serrala processes your personal data to contact you before or after the mentioned event and to provide you with targeted and personalized information via phone and/or email. We will process the personal data you provide for the following purposes:

  • To manage and organize events;
  • To create a name badge with your registration details at check-in;
  • To communicate with you about events (sending reminders, sharing presentations, and gathering feedback);
  • To publish information about our events and participants (here limited to company name) and
  • At the event, we may also take photos or videos.

If you have signed up for the newsletter, we will send you information about our software solutions and consulting services via email.

If you agreed to this in the registration form, we will create an account for you in the event app using the information from your registration form. Before the event, you will receive an email with a download link for the app and additional information, enabling you to complete your profile, access the event agenda, network (as your profile will be visible to all other app users), and book sessions.

3. Types of data we may collect

We may collect the following data directly from you or our partners: your contact data (first and last name, business email-address, company, job title, phone number, comments).

4. Legal Basis of Processing

We rely on the following legal bases for processing your data:

  • Legal basis for creating profiles in the Event App and for the newsletter: Article 6(1)(a) GDPR (consent). If you no longer wish to receive the newsletter, you can unsubscribe at any time by clicking the link included in every newsletter to follow the unsubscribe process. You can also withdraw your consent at any time by contacting us at dataprotection@serrala.com
  • Legal basis for sending communications regarding the event: Article 6(1)(b) GDPR (performance of a contract).
  • Legal basis for to integrate the event app and processing photographic images: Article 6(1)(f) GDPR (legitimate interest). Serrala’s legitimate interest lies in the optimization of the campaigns and in promoting Serrala’s services by publicizing events organized by Serrala.

5. Categories of Recipients and Transfer to Third Countries

We may only transfer your personal data for the purposes described in this Privacy Notice and to the third parties specified herein. Your personal data may be shared with the following recipients:

  • Other companies within the Serrala Group
  • Third-party service providers that manage and organize events
  • Social media platforms (e.g., LinkedIn, XING)
  • Email distribution service providers
  • Our CRM system
  • Provider of the App
  • Users of the App

In addition, your data (limited to your name, company’s name and title) will be shared with the event sponsors. These recipients may, in compliance with applicable law, process your data for their own purposes, namely in order to communicate relevant information regarding their solutions and products.

Recipients may operate in third countries, which may result in an international data transfer. In this case we will always ensure that the appropriate safeguards are in place, according to chapter V of the GDPR (namely by concluding Standard Contractual Clauses).

As a data subject, you may exercise the following rights under the GDPR:

  • Request information about the processing of your personal data;
  • Request access to your personal data;
  • Request correction of your personal data if it is inaccurate or incomplete;
  • Request the deletion of your personal data;
  • Request restriction of the processing of your personal data;
  • Exercise your right to data portability; and

The relevant supervisory authority for data protection is the Independent State Center for Data Protection, Schleswig-Holstein Post office 71 16, 24171 Kiel, Germany.

7. Storage Duration

The data you provide to us will only be stored for as long as is necessary to fulfil the purpose for which they were provided or to comply with statutory provisions. If you subscribe to the newsletter, your data will be stored until you unsubscribe from the newsletter or withdraw your consent.
